GENERAL STATEMENT OF JOB

 

Under general supervision, provides a means of accurate, efficient and extensive student data accounting at the High School level which is accessible through a wide variety of reporting capabilities.  In addition to student data accounting responsibilities, the Data Manager may be assigned a certain level of general secretarial/receptionist duties and responsibilities.  Position may be combined with Treasurer at Pay Grade 64.  Reports to the school principal.

 

DUTIES AND RESPONSIBILITIES

 

ESSENTIAL JOB FUNCTIONS

 

Records and reports daily and period attendance and sends attendance letters to parents.

 

Manages all student files (cumulative folders).

 

Compiles student discipline reports as required.

 

Manages all student re-assignment transfers.

 

Compiles state and local reports of student attendance, Exceptional Children headcounts, and teacher and facility utilization (SAR-School Activity Report).

 

Transfers all withdrawn students’ records to receiving school system.

 

Manages daily input of student attendance using optical input device.

 

Registers all students transferring into Franklin County Schools and ensures collection of tuition if applicable.

 

Manages the input of student grades and other student achievement data into the computer system and prints report cards.

 

Transfers student information to school cafeteria and media center.

 

Submits honor roll lists to school administrator for submission to newspaper.

 

Produces tardy reports as needed.

 

Manages doctor/dentist/court notes for year-end attendance issues.

 

Transfers student demographic information into TIMS and manages students’ bus information in computer.

 

Prepares ABC report data, performs all necessary monetary and auditing procedures as required.

 

Generates athletic eligibility reports for coaches and the North Carolina High School Athletic Association.

 

Maintains and enters information for Dropout reporting and Driver’s License suspensions.

 

Assists the administration with the generation of a master teacher/student schedule for the school.

 

Manages students’ career planning data and all vocational education data to include VICE reports as well as other required reports.

 

ADDITIONAL JOB FUNCTIONS

Answers telephone calls within the school office as needed.

 

Assists in proctoring for testing as needed.

 

Assists with any duties relative to the successful operation of the school office.

 

Attends training sessions to learn the operation of all student information data software modules.

 

Performs other related duties as assigned.

MINIMUM TRAINING AND EXPERIENCE

Graduation from high school with preference given to an Associate’s degree or higher in computer science or other related field and 1 to 2 years of experience in clerical work involving the use of computer-driven word processing, spreadsheet and file maintenance programs, or any combination of education, training and experience that provides the knowledge, skills and abilities required to perform the job functions. 

 

 

 

 

MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS

 

Physical Requirements:  Requires light physical work.  Must be able to lift up to ten pounds.  Must be able to sit at a computer for extended periods of time.

 

Interpersonal Communication:  Requires the ability to speak and/or signal people to convey or exchange information.  Includes giving instructions, assignments or directions to staff and students.

 

Language Ability: Requires the ability to read complex forms and reports.  Requires the ability to prepare data sheets using prescribed format.

 

Intelligence:  Requires the ability to apply common sense understanding to carry out instructions furnished in written, oral or diagrammatic form; to deal with problems involving several concrete variables in standardized situations.

 

Verbal Aptitude:  Requires the ability to record and deliver information, to explain procedures, to follow oral and written instructions.  Must be able to communicate effectively and efficiently in standard English.

 

Numerical Aptitude:  Requires the ability to utilize mathematical formulas, to add, subtract, divide and multiply.

 

Interpersonal Temperament:  Requires the ability to deal with people beyond giving and receiving instructions.  Must be adaptable to performing under moderate to high levels of stress.

 

Physical Communications:  Requires the ability to talk, write and hear.

 

KNOWLEDGE, SKILLS AND ABILITIES

 

Thorough knowledge and understanding of computer technology skills.

 

Ability to assimilate and process large amounts of data in a highly accurate manner.

 

Network software knowledge to include mapping drives and creating login scripts and profiles.

 

Ability to convert many types of files into and out of the student information data system for use with any software program.

 

Basic programming skills to include use of “Editor” function to change files, create “batch” programs and edit portions of software.

 

High level of knowledge of NC “e-procurement” purchasing system and State contract procedures.

 

Troubleshooting skills on hardware.

 

Ability to attach files to e-mail and receive/import from many different agencies and software programs.

 

Ability to work with central office administrators, principals and various other school system personnel.
